Executive Assistant to CEO – UK/Ireland

Job Overview: 

We are seeking a highly organized and proactive Executive Assistant to support our CEO with various administrative and operational tasks.  

The ideal candidate will be detail-oriented, with strong communication skills and the ability to anticipate the needs of an executive team. This role will be integral to maintaining smooth daily operations and maximizing the CEO’s efficiency. 

Key Responsibilities: 

  • Calendar and Schedule Management: Organize and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. 
  • Correspondence and Communication: Screen emails and calls, draft responses, and ensure prompt follow-up on action items. 
  • Meeting Coordination: Prepare meeting agendas, take minutes, and manage post-meeting follow-ups and action items. 
  • Travel Arrangements: Coordinate domestic and international travel, including accommodations, transportation, and itineraries. 
  • Project Support: Assist with special projects, research, and data gathering as directed by the CEO. 
  • Documentation and Filing: Manage confidential documents, file management, and record-keeping to ensure easy access and security. 
  • Office Support: Coordinate with other departments and external contacts to support seamless office operations. 

Requirements: 

  • Experience: 3-4 years of experience as an Executive Assistant or in a similar role supporting senior executives. 
  • Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); strong organisational and multitasking abilities. 
  • Communication: Excellent written and verbal communication skills, with attention to detail. 
  • Adaptability: Ability to work independently, manage shifting priorities, and handle sensitive information with discretion.
