This has\u00a0all types of contract: contracts with both fixed and undetermined time periods, and also independent and freelance contracts.<\/p>\n<p>A \u201cuser\u201d is a person who&#8217;s given access to the company&#8217;s systems. Most employees are users but some users aren&#8217;t employees: external partners can have access to parts of the system. You can manage them through the\u00a0portal_modules.<\/p>\n<p>Here are some examples of mappings which depend on the accuracy of the employee list:<\/p>\n<ul class=\"simple\">\n<li>\n<p id=\"sf57177209b7a47f7b073abce4ac6bc5e\" class=\"first sphinx-has-comment\">the cost of a service, which depends on the employee&#8217;s working contract,<\/p>\n<\/li>\n<li>\n<p id=\"sde047fc34c2349e5b5ca07c89db8a3d9\" class=\"first sphinx-has-comment\">project planning, which depends on the work pattern of the project contributors,<\/p>\n<\/li>\n<li>\n<p id=\"s1b95189e503441e7bef76a9f0f837f67\" class=\"first sphinx-has-comment\">the client billing rate, which probably depends on the employee&#8217;s job function,<\/p>\n<\/li>\n<li>\n<p id=\"s6fcf588eafe6442ba6a9c6ce4b39a4a7\" class=\"first sphinx-has-comment\">the chain of command, or responsibilities, which is related to the hierarchical structure of the company.<\/p>\n<\/li>\n<\/ul>\n<div id=\"management-of-staff\" class=\"section\">\n<h2 style=\"font-weight: 400; color: inherit;\">Management of Staff<\/h2>\n<p id=\"s504b214466d848d58d1721871559acb9\" class=\"sphinx-has-comment\">To define a new employee in Open\u00a0ERP, use the menu\u00a0<em class=\"menuselection\" style=\"color: #850d85;\">Human Resources \u2023 Employees \u2023 New Employee<\/em>.<\/p>\n<div class=\"figure align-center\">\n<p><a class=\"reference internal image-reference\" style=\"color: #903e7a;\" href=\"https:\/\/doc.odoo.com\/doc_static\/5.0\/_images\/service_employee_form.png\"><img decoding=\"async\" src=\"https:\/\/doc.odoo.com\/doc_static\/5.0\/_images\/service_employee_form.png\" alt=\"\/doc_static\/5.0\/_images\/service_employee_form.png\" \/><\/a><\/p>\n<p class=\"caption\"><em style=\"color: #850d85;\">Form describing an employee<\/em><\/p>\n<\/div>\n<p id=\"sfda60605085b4285b69761511e5caffd\" class=\"sphinx-has-comment\">Start by entering the employee&#8217;s name in\u00a0<em class=\"guilabel\" style=\"color: #850d85;\">Employee<\/em>\u00a0and the company that this employee works for in<em class=\"guilabel\" style=\"color: #850d85;\">Company<\/em>. You can then create a new user of the Open\u00a0ERP system linked to this employee by filling in a new\u00a0<em class=\"guilabel\" style=\"color: #850d85;\">User<\/em>\u00a0form through the\u00a0<em class=\"guilabel\" style=\"color: #850d85;\">Related User<\/em>\u00a0field.<\/p>\n<p id=\"s2b7a98e40b124ed389b1e89e76aa7368\" class=\"sphinx-has-comment\">Even if the employee isn&#8217;t a user, it&#8217;s best if you create a system access for most of your staff just so that you can control their access rights from the outset (and you can do that through this field if you need to).<\/p>\n<div class=\"admonition tip\">\n<p class=\"first admonition-title\">Tip<\/p>\n<p id=\"s8a0cb45d868040d19f45d6e635e83578\" class=\"sphinx-has-comment\">Employee and User link.<\/p>\n<p id=\"s93d595fb402342689500c33409e92f8c\" class=\"sphinx-has-comment\">If the employee has a user account on the system you always link his or her user account to the employee form.<\/p>\n<p id=\"s84921c151b424d65bbb0e348a2939a4f\" class=\"last sphinx-has-comment\">Creating this link enables automatic completion to be done on the\u00a0<em class=\"guilabel\" style=\"color: #850d85;\">Employee<\/em>\u00a0field in the relevant forms, such as services and expense records.<\/p>\n<\/div>\n<p id=\"s3b8eafddc8e04427be138b39f56cd390\" class=\"sphinx-has-comment\">Then enter the employee&#8217;s address.<\/p>\n<p id=\"s0c9217a6c89f4ecc93214b53fd8b0095\" class=\"sphinx-has-comment\">This seems in the partner contact form in Open\u00a0ERP. Since employees are people that have employment contact with your company, it&#8217;s logical that they have entering like any other partner in your database. So enter the name of the employee as a new partner Name and the address in the Contact form. Then all of the functions that apply to a partner can also be applied to an employee. This is particularly useful for tracking debits and credits in the accounts \u2013 so you can track salary payments, for example.<\/p>\n<p id=\"s83b2ac894b364f20956ec1d305d68935\" class=\"sphinx-has-comment\">You can then set both an analytic journal and a linked product to this employee in the\u00a0<em class=\"guilabel\" style=\"color: #850d85;\">Timesheets<\/em>\u00a0tab. If you do it that way, then this information can be used to track services. If each employee has been linked to a system user, then they can sign in on Open\u00a0ERP by using the menu<em class=\"menuselection\" style=\"color: #850d85;\">Human Resources \u2023 Attendances \u2023 Sign in \/ Sign out<\/em>.<\/p>\n<p id=\"s51f0db4a83cf4c8d82c2d361bc7fa040\" class=\"sphinx-has-comment\">If an employee has dis-remembered to sign out on departure, the system advises\u00a0that they sign out manually and type in the time that they left when they come in again the next day. This gives you a simple way of dealing forgotten sign-outs.<\/p>\n<p id=\"sfa81283f787f4de2aedaf7061c529be8\" class=\"sphinx-has-comment\">Find employee attendance details from their forms in\u00a0<em class=\"menuselection\" style=\"color: #850d85;\">Human Resources \u2023 Employees \u2023 All Employees<\/em>.<\/p>\n<p id=\"sfd4e8c1933424e14b1de61b79a889bf4\" class=\"sphinx-has-comment\">To get the detail of attendances from an employee&#8217;s form in Open\u00a0ERP you can use the three available reports:<\/p>\n<ul class=\"simple\">\n<li>\n<p id=\"s2901b52dc72c49db8bf0c070a57f8847\" class=\"first sphinx-has-comment\"><em class=\"guilabel\" style=\"color: #850d85;\">Print Attendance Error Report<\/em><\/p>\n<\/li>\n<li>\n<p id=\"s43f282cfad1847dba16b23357ec4737f\" class=\"first sphinx-has-comment\"><em class=\"guilabel\" style=\"color: #850d85;\">Print Timesheet by week<\/em><\/p>\n<\/li>\n<li>\n<p id=\"sf2ec4d8fa4a14ad8944cdca412f8e480\" class=\"first sphinx-has-comment\"><em class=\"guilabel\" style=\"color: #850d85;\">Print Timesheet by month<\/em><\/p>\n<\/li>\n<\/ul>\n<p id=\"sa517486a6ca543e791a6996958d750e4\" class=\"sphinx-has-comment\">The first report spotlights errors in attendance data entry. It shows you whether an employee has enrolled the time of entry or exit manually and the differences between the actual and anticipated sign out time and the time.<\/p>\n<p
